Information Collection & Use

Registration

In order to use this web site, you must first complete the registration form and create a password. During registration you are required to give contact information, including name, email address, and club membership(s). We use this information initially to verify that the club memberships(s) that you represent owning are valid, and to contact you to support the services you use within OpenRounds. We also share this information with golf clubs from which you request and/or book tee times, so they can contact you if necessary. You must not enter false or misleading information about yourself. OpenRounds is the sole owner of information collected on OpenRounds.com. OpenRounds.com collects personally identifiable information from its users at several different points on its web site.

OpenRounds will infrequently email users a newsletter to inform you of new clubs that have joined OpenRounds. We may send you emails regarding special offers for products and services provided by OpenRounds. However, you may opt-out of these communications by contacting OpenRounds at any time.

New Club Set-Up

In order for a club to use the web site they must complete the registration process, similar to users. The registration process requires the club contact(s)’ name, phone number and email address. This information is used initially to verify that a club contact is an authorized club representative; and following verification to book, change, and cancel tee times with OpenRounds’ users.

Uses of Information

If you choose to set-up saved join/host times in OpenRounds, your name, profile picture, club membership(s), industry of employment, and handicap will be viewable by other OpenRounds users. Your contact information (email, phone, address) will only be shared with other users that you choose to schedule a tee time with and with the club that you choose to set a tee time at.

OpenRounds may use information in your profile without identifying you as an individual to share with third parties for marketing purposes.

Log Files

As is true of most web sites, we gather certain information automatically and store it in log files. This information includes internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, operating system, date/time stamp, and clickstream data. We use this information, which does not identify individual users, to analyze trends, to administer the web site, to track users' movements around the web site and to gather demographic information about OpenRounds’ user base as a whole. We do not link this automatically-collected data to personally identifiable information. IP addresses are tied to personally identifiable information to perform user authentication.

Cookies

A cookie is a small text file that is stored on a user's computer for record-keeping purposes. We use cookies on this web site only to facilitate user authentication. No other web activity or personal information is stored in our cookies.

OpenRounds’ Cookies

We use session cookies to facilitate user authentication. A session ID cookie expires when you close your browser. We set a persistent cookie to store your authentication identifier, no passwords or other sensitive data are stored in persistent cookies. A persistent cookie remains on your hard drive for an extended period of time. You can remove persistent cookies by following directions provided by your internet browser. If you reject cookies, you may still use OpenRounds.

Clear Gifs (Web Beacons)

We use clear gifs in HTML-based emails to let us know which emails have been opened by recipients. This allows us to gauge the effectiveness of certain communications and the effectiveness of OpenRounds’ marketing campaigns. If you would like to opt-out of these emails, you may do so by contacting OpenRounds at any time.

Communications from OpenRounds

Based upon the information you provide us at registration, we will send you a welcoming email to complete the registration process and create a password. We will also communicate with you in response to your inquiries to provide the services you request, and to manage your account. We may communicate with you by email or telephone. OpenRounds may send you service-related emails and/or SMS (text) messages from time to time through the general operation of the service. For instance:

  • A tee time is posted that matches a tee time that you requested
  • A tee time is cancelled by the club or host

You may opt out of such emails or SMS messages by contacting OpenRounds. However, OpenRounds reserves the right to send you emails about your account even if you opt out of all voluntary email notifications.

On occasion, we may need to mail you something to your home address. Additionally, some participating clubs may want to know the number of miles between your home and the club via your zip code. They may use this information to offer you special offers or to limit the number of times that you can play at their club in a given year.

Information Sharing and Disclosure

We may share aggregated demographic information about OpenRounds’ user base with participating golf clubs. This information does not identify individual users. We do not link aggregate user data with personally identifiable information.

Personally Identifiable Information

We share personally identifiable information (name, email address, and phone number) with golf clubs from which you request and/or book tee times. This allows participating clubs to contact you about tee times and tee time requests when necessary. In addition, club and system administrators will be able to view publicly available demographic information about you based on the zip code you've registered on OpenRounds’ web site.

Access to Personally Identifiable Information

If your personally identifiable information changes, you may correct, update, or delete it by logging into your account and visiting your edit profile page. You can also email OpenRounds customer service at YourCaddy@openrounds.com or contact us by telephone at 888-765-7707 and we will assist you with any changes. If you no longer desire to be an OpenRounds user, please email customer service at YourCaddy@openrounds.com or contact us by telephone at 888-765-7707 and we will remove you from the web site’s database within 30 days of receiving your request.

Agents/Service Providers

We may use third-party tracking services, such as Google Analytics. These services use cookies to track non-personally identifiable information about visitors to OpenRounds in the aggregate. These services capture usage and volume statistics. We use this information to better understand the web site’s visitors so we can continue to improve OpenRounds for its users. These third parties are prohibited from using your personally identifiable information for promotional purposes.

We use a payment processor (Stripe) to handle credit card payments. When you purchase tee times, we will submit your name, address and credit card information as necessary for Stripe to process your payment. For your added protection, OpenRounds does not store credit card numbers in our system.

Business Transitions

In the event OpenRounds.com goes through a business transition, such as a merger, acquisition by another company, or sale of all or a portion of its assets, your personally identifiable information will likely be among the assets transferred. You will be notified via email and a prominent notice on OpenRounds’ web site for 30 days of any such change in ownership or control of your personal information.

Legal Disclaimer

We reserve the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect OpenRounds’ rights and/or to comply with a judicial proceeding, court order, or legal process served on OpenRounds’ web site.

Security

The security of your personal information is of the utmost important to us. When you enter sensitive information such as an email address or password on OpenRounds’ registration or booking forms, we encrypt that information using a Premium SSL Certificate (provided by GoDaddy). To learn more about SSL certificates, go to GoDaddy's support page regarding SSL certificates. Because email is not recognized as secure communication, we request that you do not send private information to us by email. Furthermore, no method of transmission over the internet, or method of electronic storage, is 100% secure. Therefore, while we use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security. Changes to this Privacy Statement

If we decide to change OpenRounds’ privacy policy, we will post those changes immediately so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it.
